dFakto platforms: full scope, fast implementation, low operating costs
dFakto’s dataFactory is a data management solution, that can bring together the data of 2 sources (such as the CRM and the accounting system) and can evolve to a full data warehouse. With a dataFactory, organisations work towards a single version of the truth.
dFakto’s proPilot is a steering solution for any type of plan or project portfolio, with which the owners can frequently report their progress based on simple indicators, so that decision-makers can detect issues very early and can adapt the plans and the allocated resources. With a proPilot, organisations work towards a single version of the plan.
We supply full turnkey solutions, by implementing into our customer’s platforms third party applications and services:
- Data visualisation tools for impactful information communication through reports and dashboards
- ERP and CRM modules to automate the capture and management of operational data
- IT infrastructure services for dFakto’s platforms, on-premises or in hosting in the clouddFakto’s solutions are offered in PaaS mode (Platform as a Service): we take full ownership of providing the functionality to our customers and of ensuring the availability, security and continuity of the solution.
Additionally, we offer consultancy in data management: data quality, predictive AI, master data management, as well as PMO services (Project Management Office), to ensure the daily operation of the solution. O.our support structure provides access to functional and technical assistance, on an SLA-based principle, to complete our end-to-end commitment towards solutions that are fast to implement and easy to run.
Transforms multi-source raw data into qualified data, that is ready-to-use for high-frequency decisions and communication
The dataFactory, dFakto’s solution for data management, is built on the Data Vaulting methodology (Data Vault 2.0 data model), implemented with pre-configured functionality such as data quality measurement, and packaged in a component-based architecture.
The dataFactory is the solution of choice for connecting a small number of data sources or for integrating, at the beginning or during a later phase, a high number of internal and external data sources, repositories, static data lists, etc.
Here are some examples of what our customers do:
- Putting together the forecast information in the CRM and the actuals in the financial system.
- Combining the expense tracking system with a project management tool.
- Consolidating the data of 2 accounting systems for an organisation made of 2 entities, and linking with an official VAT-check data source.
- Connecting tens of systems and data sources for organisations in several countries, each with its own applications and databases.
Clean, scalable datamodel, with a low code approach and making usage limitless
The Data Vault 2.0 data modelling, together with dFakto’s expertise and implementation methodology, guarantees a clean data model with much reduced complexity when compared with traditional data warehouse approaches (Entreprise Data Warehouse, Dimensional Design approach …).
Your data model can always be expanded to accommodate additional data sources and to fulfil additional reporting needs, without additional complexity. This makes your solution future-proof and virtually limitless.
Historical versions of your data, to compare the past and forecast the future
The dataFactory ensures that the raw data from the different sources are stored in their original state, creating a set of data at each loading operation. With this building of historical records, you can always look back into the past and compare your current situation with previous states. Trends can be drawn from the last months or compared to the previous year(s), thereby opening the door to predictive analysis which enables better-informed decision-making.
“Your data has a DQ Score of 79%”
Data quality is often mentioned but is difficult to objectivise. dFakto brings a real answer with our Data Quality Score.
Additionally to the data vault architecture in which data controls, data enrichments and business rules (calculations, …) are applied separately from the raw data, the dataFactory includes a data quality measurement mechanism, with which the quality level of a specific data or of a full data source can be summarized in one percentage, the Data Quality Score. This unique feature enables you to compare data quality in the time and to set quality improvement objectives.
New reports and dashboards created in hours, turning data into information
Qualified data, once controlled and enriched, are gathered into ‘information marts’ (set of qualified data gathered for a specific purpose and/or specific stakeholders), ensuring easy and secure access for further uses of the data. Data can then be turned into decisional information through reports and dashboards, and into user information via portals and websites.
New information marts can be set up for new purposes and stakeholders, providing flexibility without limits.
Automated thanks to a robust component-based architecture, flawlessly turning data into information at high-frequency
The dataFactory organises the uploading of the raw data from various sources; the application of enrichment & business rules onto those data; and their combination in reporting-ready data sets. All these workflows are scheduled, then automatically executed, delivering ready-to-use qualified information, at the required frequency (near-real time; hourly, daily, monthly …).
With the dataFactory, no need any more for manual, time-consuming and error-prone consolidation of data from different systems and excel files.
Furthermore, our open, techno-agnostic architecture enables the dataFactory to run on any database (SQL Server, PostgreSQL, Oracle …), in any environment (AWS, Azure, OVHcloud …), using any reporting tool (Power BI, Tableau …): you can keep building on your organisation’s existing technological investments and skills.
Continuously adapt your plans, based on simple progress reporting and forecasting from your operations
proPilot is dFakto’s solution for steering any kind of plan: transformation plans (restructuring, merger, split, acquisition etc.); execution plans (yearly or multi-year plans); compliance plans; reforms and policies; investment plans; large deployments; innovation and more. proPilot’s strength resides in its intentional simplicity, in the high frequency of the bottom-up project progress reporting, and in its ability to immediately translate adaptation decision into actions.
The plans are loaded centrally in proPilot, and cascaded down in line with the organisation’s governance chain (usually the hierarchical structure) in 3, 4, or more levels.
Each governance level reports regularly (typically monthly), in a very simple and fast way, the progress of its project(s): the lowest level (i.e. the operational teams managing the projects) reports the progress of its project; the next level up reports the progress of its portfolio of projects; the next level up reports the progress of its programme … until there’s complete reporting on the progress of the complete plan.
Decision makers regularly receive fresh information over the projects progress and can detect projects experiencing difficulty very early on. They can take instant decisions to adjust the plans and/or resource allocation. Adjustments are directly implemented in proPilot and communicated to the organisation, along the governance chain, for maximal impact.
Less is more
proPilot’s power lies in its conceptual simplicity. The concept and principles of the application are easy to understand and communicate: very little user training is needed; monthly progress is reported in just a few minutes; reported information is easy for decision makers to interpret. This means that proPilot implementation takes just 8-10 weeks, with the first user feedback gathered 10-12 weeks after the project starts, thereby enabling decision-makers to have direct impact on their plans.
Stay macro, don’t get bogged down by details
One of the major benefits of proPilot is the ability to detect very early on which projects are likely to exceed their expected results, and which projects are experiencing difficulty. Thanks to this early detection of issues, decision-makers can make more impactful decisions: allocate more resources to some projects, or stop some projects altogether. This is made possible by proPilot’s methodology and philosophy, which ensure that first project owners, then portfolio owners, and then programme owners, are provided simple progress information at a high frequency (usually monthly, potentially weekly) and, at a lesser frequency (usually quarterly), key quantitative project figures. Because project reporting is easy and takes project owners virtually no time to carry out, proPilot’s customers achieve reporting completion rates of 98+%, and create consolidated reports (from all governance levels) that are ready 2 days after the reporting period’s end. This gives decision-makers a real project overview based on complete and fresh information.
As such, proPilot complements PPM tools (Project Portfolio Management), that help people track the details of their projects.
A combination of qualitative and quantitative indicators which provide forecasts to decision-makers
Project owners – and every governance level above them – provide monthly qualitative reports on their project progress based on their own experiences, using simple concepts (weather forecast, project trend, progress percentage, short comment). They provide quarterly quantitative reports on the numbers their project achieved, in terms of key resources and/or impacts.
Not only do they report the actual achievements for the ending period, they also declare their forecast of resources to be used and impacts to be achieved versus the plan for the coming periods. We call it the PAF method, where Plan achievement = Actuals + Forecast. This unique feature helps create accountability and a ‘healthy pressure’ at each governance level, and provides fundamental information for decision-makers.
Add automatic reporting of actuals to measure objective progress
Alongside the declarative reporting on project progress by the owners, proPilot’s customers – during implementation or at a later phase – usually connect data sources (accounting systems, expense tracking systems, HR systems etc.) with proPilot through a dataFactory, in order to automate and objectivise the quantitative reporting.
proPilot is designed with ease-of-use in mind, which is crucial for user acceptance and reporting completion rates
proPilot’s interface for project owners is so user-friendly that it takes only a few minutes for users to complete their reporting and it virtually excludes misinterpretations. This is one of the main reasons why our customers reach 98+% reporting completion rates, with the additional benefit that user training takes 5 minutes, with no monthly support calls afterwards from confused users.
Full functionality lets you tune the application to your specific needs
proPilot can be set up to reflect the specificities of any public or private organisation from as little as 2 levels up to a virtually unlimited number of levels. While our customers typically cascade their governance over 3 to 4 levels, proPilot can go up to 10 or more levels, with no loss of efficiency, reporting completion rate or consolidation speed.
proPilot’s roles and permissions management system offers full granularity, with read and/or write access capabilities at every level of your governance chain. The basic access principles are that a user can see everything that happens under their role (in proPilot), and potentially (if authorised) everything that happens at their level (via reporting).
Third-party applications & complementary services
Full functionality with complementary applications and services
Data visualisation helps improve decision-making
Data need to be combined and presented in a thoughtful way to become decisional information. dFakto has developed a deep expertise with all of the commonly-used reporting tools: Tableau, Toucan Toco, Power BI, Qlik, Board and others.
We help our customers and partners determine what needs to be reported and we develop with them the reports and dashboards that will provide the impactful information that decision-makers need.
Data creation & management solutions, in support of better execution
When operational data are captured in day-to-day tools such as excel or as free text in ticketing or call centre systems, inconsistencies and errors are frequent.
To ensure that data consistency standards are applied from the outset, and in order to make further data management easier, dFakto implements business management modules such as contact management, CRM, HR support, inventory management etc.
We have developed over the years a broad competence in the implementation of the Odoo suite, a leader in Open Source management software.
